TERMS AND CONDITIONS

It is the responsibility of the Hirer to ensure that during the hire period all possible steps are taken to avoid injury to users and damage to the Equipment. Under no circumstances should anyone under the influence of alcohol or drugs be allowed to use or supervise the Equipment.

By accepting delivery of the Equipment, the Hirer agrees to be bound by these Terms and Conditions.

1. Ownership

All inflatables, soft play equipment, ball pits and associated items supplied remain at all times the property of VRP Castles.

2. Responsibility & Liability of the Hirer (Strengthened Clause)

The Hirer accepts full responsibility for the safety and supervision of the Equipment from the time of delivery until collection.

The Hirer agrees:

To ensure constant adult supervision at all times.
To prevent overcrowding and unsafe behaviour.
To ensure all safety instructions provided verbally or in writing are strictly followed.
To ensure the Equipment is used only for its intended purpose.

The Hirer shall be fully liable for:

Any injury to persons.
Any loss or damage to the Equipment.
Any loss, damage or injury arising from misuse, negligence, reckless behaviour, or failure to follow safety guidance.

The Hirer agrees to indemnify and hold harmless VRP Castles against all claims, proceedings, liabilities, costs, expenses or damages arising during the hire period, except where caused by proven negligence on the part of VRP Castles.

3. Suitability of Venue

The Hirer is responsible for ensuring:

The venue is suitable and large enough.
The surface is level and appropriate.
There are no underground services (gas, water, electric etc.).
There are no overhead obstructions (trees, cables, ceilings).
Safe access is available for delivery and collection.

4. Condition of Equipment

The Equipment must be checked upon delivery. Any faults or concerns must be reported immediately to the delivery staff.

Failure to report issues at delivery may result in the Hirer being held responsible for any damage identified at collection.

5. Damage or Loss

If damage or loss occurs during the hire period, the Hirer will be liable for:

Full repair costs
Replacement costs if damage is beyond repair
Loss of hire revenue where applicable

Payment is required within 14 days of invoice. Failure to pay may result in recovery action.

6. Cleaning Charges

Equipment returned excessively dirty (including but not limited to face paint, food, drink, mud, slime, confetti or rubbish) will incur cleaning charges of £50 per hour.

7. Cancellation Policy

Cancellations made more than 14 days before the booking date will receive a full refund of monies paid.
Cancellations within 14 days may result in loss of booking fee.
In the event of cancellation due to unsafe weather conditions, the Hirer may transfer to another available date or receive a refund.

8. On the Hire Date the Hirer Must Ensure:

a) Access is available at agreed times.

b) A safe electrical supply is within 25 metres.

c) Full payment is made upon delivery (unless pre-arranged).

d) The site is clear, level and safe.

e) A responsible adult (18+) signs for the Equipment and receives safety instructions.

9. Waiting Time Charges

If access is not available at agreed delivery or collection times, waiting time may be charged at £20 per hour or part thereof.

10. Movement or Tampering

The Equipment must not be moved, tampered with, or re-positioned once installed.

Anchors, stakes or sandbags must not be removed.

Tampering may invalidate insurance and will result in full liability resting with the Hirer.

11. Weather Responsibility (Hirer)

Inflatables must NOT be used:

In winds exceeding 24mph (Force 5)
During heavy rain, thunderstorms or lightning
In unsafe weather conditions

If conditions worsen, the inflatable must be deflated immediately.

Failure to comply may result in full liability for injury or damage.

PUBLIC LIABILITY INSURANCE

VRP Castles holds Public Liability Insurance cover up to £5 million.

A copy of the insurance certificate can be provided upon request.

This insurance covers claims arising from proven negligence on the part of VRP Castles only.

It does NOT cover:

Misuse of Equipment
Lack of supervision
Failure to follow safety instructions
Adverse weather misuse
Hirer negligence

The Hirer remains responsible for safe operation during the hire period.

DISCLAIMER

All persons using Equipment supplied by VRP Castles do so at their own risk.

The Hirer accepts full responsibility for all users and acknowledges that inflatable equipment carries inherent risks.

VRP Castles accepts no liability for:

Injury resulting from misuse
Injury due to lack of supervision
Injury caused by failure to follow safety instructions
Damage caused by weather misuse
Loss or damage occurring during the hire period

Nothing in these terms excludes liability for death or personal injury caused by proven negligence of VRP Castles.

BALL PIT REFUNDABLE DEPOSIT

A £20.00 refundable deposit is required for ball pit hire.

The deposit will be returned upon collection provided all balls are returned to their bag.

If balls are missing or not returned correctly, the deposit will be retained.

DATA PROTECTION & GDPR

VRP Castles is committed to protecting your personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and Data Protection Act 2018.

We collect and store personal information including:

Name
Address
Contact details (email/phone)
Booking details

Your information is used solely for:

Processing bookings
Communicating about your hire
Issuing invoices
Legal and insurance compliance

We do NOT sell, share or distribute your data to third parties for marketing purposes.

Data is stored securely and retained only as long as necessary for legal, tax and insurance obligations.

You have the right to:

Request access to your data
Request correction of inaccurate data
Request deletion where legally permissible.
